Onboarding & Offboarding

Hiring and transitions are some of the most important—and most regulated—moments in the employee lifecycle. At Sprout & Vine HR Strategies, we make sure onboarding and offboarding are smooth, compliant, and fully integrated with your HR and payroll systems.

What we do

  • New Hire Setup – Collect required forms (I-9, W-4, DE-34) and establish employee records.

  • Policy Distribution – Deliver employee handbooks, benefit notices, and state/federal compliance postings.

  • System Access – Configure payroll, timekeeping, and benefits systems so employees are ready on day one.

  • Exit Processing – Manage final paychecks, benefit termination, and retrieval of company property.

  • Documentation – Maintain audit-ready employee files from start to finish.

Compliance We Build In

  • New Hire Reporting (UIC §1088.5) – All hires and rehires reported to the EDD within 20 days.

  • Form I-9 (IRCA, 8 U.S.C. §1324a) – Verify identity and work authorization for all new hires within 3 business days.

  • Wage Theft Prevention Act (Labor Code §2810.5) – Provide required written notice of pay rates, paydays, and employer info to new hires.

  • Final Wages (Labor Code §§201–203) – Ensure departing employees are paid on time, including vacation/PTO payouts.

  • COBRA / Cal-COBRA Notices – Provide continuation of health coverage when employment ends.

Make It Yours

Onboarding and offboarding touch nearly every system in your business. That’s why we build these processes directly into your workflows:

  • Payroll – Ensures new hire data, deductions, and final wages are accurate and on time.

  • Benefits – Enrollment and termination notices are triggered automatically.

  • Compliance – Required state and federal notices are delivered consistently.

  • Records – Documentation is stored for audits and future reference.

At Sprout & Vine, we don’t treat onboarding and offboarding as stand-alone tasks—they’re fully embedded into your HR and payroll systems, so compliance and employee experience go hand in hand.
